TxPPA Refund Policy

Membership Dues – Membership Dues are non-refundable. If the membership is an agency membership, it can be transferred to another contact within the agency should the original member no longer be employed with that same agency. Individual memberships are non-transferable.

Conference Registration Fees – Payment of conference registration fees must be fully paid prior to attendance at the conference. On-site payment options may be available for late registrants. Conference fees will be refunded minus a 10% processing and cancellation fee if written cancellation is received twenty-one (21) days in advance of the conference. Cancellation requests must be submitted in writing to [email protected]. If cancelled less than twenty-one days in advance, no refund will be made.

Substitutions – If a registered member is not able to attend a scheduled conference, another agency member may be sent in their place. All substitution requests must be made in writing to the association via email to [email protected].

Conference No-Show/Not Cancelled – No refund/credit provided and all unpaid fees will be billed to the member and/or member’s entity if there is a no show. If, in the sole discretion of the Association Board of Directors, an extraordinary circumstance occurs, the Association Board of Directors may waive any and all member cancellation fees minus processing fees. If a member feels that they have experienced an extraordinary circumstance they should provide written notification with all relevant information to the association via email to [email protected] as soon as possible. The request will be submitted for consideration at the next available Board meeting for discussion and decision vote. The decision of the Board is final.

Commercial Trade / Vendor Fees

Fees associated with Conference Exhibit Registrations

Early registration for conference exhibit space is encouraged to ensure availability. Registration fee for conference booth and/or sponsorship fee must be paid in full prior to the start of the event. Exhibit fees are refundable minus a processing and cancellation fee of 25% if written cancellation is received no less than thirty (30) days prior to the first day of conference. No refunds will be made for cancellations received less than thirty (30) days in advance of the first day of the conference.

Conference No-Show/Not Cancelled – No refund/credit will be provided and any unpaid registration fees not paid in full will be billed to vendor.

Charter Sponsor, Annual Sponsor, and Event Sponsorship Fees - All sponsorship fees are non-refundable.
